The Incubator is a marketing and creative agency. This policy explains what personal information we collect, how we use it, and the choices you have. We handle personal information in line with the Australian Privacy Act 1988 and the Australian Privacy Principles.
Who this policy covers
This policy applies to visitors to theincubator.com.au, people who contact us or work with us, and people whose information we process on behalf of our clients when we provide marketing, advertising, analytics and reporting services.
What we collect
Information you give us. Your name, email address, phone number, company and role when you contact us, subscribe to updates, apply for a job or become a client.
Information collected automatically on our website. Pages visited, time on site, referring site, device and browser type, approximate location from your IP address, and cookie identifiers. We use Google Analytics and Microsoft Clarity for this. Clarity records anonymised session replays that show how visitors move through pages; it does not capture what you type into forms.
Information from platforms our clients use. When a client engages us to manage or report on their marketing, we access data from platforms such as Google Analytics, Google Search Console, Google Ads, Meta (Facebook and Instagram), LinkedIn and YouTube on that client’s behalf. This is mostly aggregated performance data (impressions, clicks, engagement, conversions). Where it includes personal information, such as a lead who has submitted an enquiry form on a client’s website, we handle it only for the purpose the client has engaged us for.
How we use it
- To respond to your enquiries and provide our services.
- To run, measure and report on marketing activity for clients.
- To improve our website and understand how it is used.
- To send you information about our work if you have asked for it.
- To meet legal and accounting obligations.
We do not sell personal information.
Marketing platform data and our reporting systems
We connect to Google, Meta, LinkedIn and YouTube advertising and analytics platforms through their official APIs, with authorisation from the account owner. Data from these platforms is stored in our secure reporting warehouse hosted on Google Cloud in Australia and used only to build performance reports and dashboards for the client the data belongs to. We access only the accounts and pages we have been granted access to, we do not use one client’s data for another client’s benefit, and we remove a client’s data from our systems when the engagement ends and it is no longer required.
Our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. Our use of Meta and LinkedIn platform data follows those platforms’ terms.
Who we share it with
- Our staff and contractors who need it to do their work.
- Service providers who host our systems and tools, including Google Cloud, Google Workspace, Teamwork, Streamtime, Xero and similar business software, some of which store data outside Australia.
- The client whose marketing the information relates to.
- Authorities where the law requires it.
Cookies
Our website uses cookies for analytics and to remember your preferences. You can manage cookies through your browser settings or the privacy preference centre on our site. Blocking cookies may affect some site features.
How we keep it secure
We use access controls, encryption in transit and at rest on our cloud systems, and limit access to people who need it. No system is completely secure, and we cannot guarantee against every risk.
How long we keep it
We keep personal information for as long as it is needed for the purpose it was collected, or as required by law. Client platform data is retained for the length of the engagement plus the period needed for final reporting, then deleted.
Your rights
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. You can unsubscribe from any marketing email using the link in the email. To make a request or a complaint, contact us using the details below. If you are not satisfied with our response you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
